Manage Project Access

A project starts private. Only the person who created it and your company admins can see it. Everyone else in your company has no way to find it and cannot tell that it exists.

To work on a project with colleagues, add them to it. Manage access in the project header is where you do that, and where you see who already has access.

Adding someone to a project gives them every document in it, including documents added later. There is no way to share part of a project.

That is deliberate: a project is one shared view of one set of contracts, so everyone in it sees the same rows, the same extracted values and the same results. Two people comparing notes on a project are always looking at the same thing.

Only the project owner and your company admins can add or remove people. The owner is whoever created the project.

Everyone in the project, owner or not, can rename it, add documents and run the analysis. Deleting, duplicating and managing access stay with the owner and admins.

Open Manage access

Open the project and click Manage access in the actions at the top right, next to Export.

Pick the person

Start typing a name or email address in Add someone. Only colleagues whose role includes Projects appear in the list, so anyone you can pick here can actually be added.

Read the note about what they get

Once you select someone, Pactly tells you whether this widens what they can reach or whether they can already open everything in the project.

Choose whether to email them

Email them about it is on by default and sends a short notification with a link to the project. You can add a message of your own, or turn the email off to add someone quietly.

Click Add To Project

They now appear under Who has access and can open the project immediately.

Who has access lists everyone on the project. The owner is marked with an Owner label.

Company admins are not listed. They can open every project in your company whether or not they have been added to one.

Click the delete icon beside a person’s name and confirm. They lose access to the project and everything in it straight away.

The owner has no delete icon. Ownership is not something you remove, and a project always has an owner while its owner’s account is active.

When an account is deactivated, any project that person owned passes to one of your admins, and their access to projects other people own is removed. A project is never left without an owner, so work does not become unreachable when someone leaves.

Everyone in a project sees every row and every extracted value. Opening a contract in the Contracts area is separate: that follows your normal contract permissions. Where a row leads to a contract you cannot open there, the project simply does not offer the link, and the preview panel inside the project still shows you the document.
