Setting Up Reminders

Contracts come with deadlines that have real consequences: a renewal window that closes silently, a compliance obligation due next quarter, or confidentiality terms that expire on a specific date. Missing these dates can mean auto-renewals on unfavorable terms, regulatory penalties, or lapsed coverage. Tracking them in spreadsheets or calendar entries works until your portfolio grows past a handful of contracts.

Pactly reminders let you attach notification schedules directly to contract events, so the right people receive email alerts before (or after) key dates without anyone having to remember to check.

When is this useful?
Legal Counsel You manage 40+ vendor agreements. Each has a different renewal window, and missing the opt-out deadline means another year locked in. Reminders notify you 30 and 15 days before each renewal date so you have time to evaluate and negotiate.
Legal Ops Your team handles compliance obligations across multiple jurisdictions. Recurring reminders on a quarterly cycle keep obligation owners informed without you having to chase them manually each period.
Contract Admin After uploading a batch of executed contracts, you need to confirm the AI-extracted dates and set up notifications for the business owners. Reviewing and confirming reminders in bulk ensures nothing slips through.

Every contract in Pactly has a Reminders tab where you can view, create, and manage date-based notifications. There are two sources of reminders:

  • AI-extracted reminders. When Pactly processes a contract document, it identifies important dates (expiration, renewal, obligation deadlines) and creates reminders automatically. These appear as unconfirmed and require your review before they become active.
  • Manual reminders. You can create reminders from scratch for any date relevant to the contract.

Each reminder has a name, a description of the event, one or more notification dates, and a list of email recipients who should be alerted.

One-off reminders are for a single event on a specific date, such as a contract expiration or a one-time deliverable deadline. You set the event date and choose when notifications should go out relative to that date.

Recurring reminders repeat on a regular cycle. When creating a recurring reminder, you select a frequency:

Recurring reminders are useful for periodic compliance checks, quarterly reviews, or annual renewal evaluations where the same notification needs to go out on a repeating schedule.

When Pactly AI extracts dates from a contract document, the resulting reminders appear on the Reminders tab with an unconfirmed status. You need to review each one before it becomes active.

Open the Reminders tab

Navigate to the contract record and click the Reminders tab. Unconfirmed reminders extracted by AI appear in the list with their detected event dates.

Review the extracted date and description

Click a reminder to expand it. Check that the name, description, and extracted date are correct. The AI identifies dates like agreement expiration, confidentiality end dates, and renewal deadlines from the contract text.

Add notification dates

Choose when you want to be notified. You can select from predefined options (e.g., 15 days before, 30 days before) or pick a custom date from the calendar. Add multiple notification dates if you want a series of alerts.

Add recipients

Enter the email addresses of people who should receive the reminder. Recipients do not need to be Pactly users. You can add external stakeholders, business owners, or anyone who needs to be aware of the date.

Confirm the reminder

Click Confirm Reminder. The status changes to active, and Pactly will send email notifications on the configured dates.

If the AI missed a date or extracted it incorrectly, you can use the Re-Run Property Extraction button to trigger a fresh extraction from the contract document.

To add a reminder that was not extracted by AI, click Add Reminder on the Reminders tab. Fill in the name, description, and event date. Toggle between One-off and Recurring to choose the reminder type, then configure notification dates and recipients as described above.

Each reminder supports multiple notification dates, giving you flexibility in how you schedule alerts:

  • Before the event. Predefined options like 15 days before, 30 days before, or 60 days before the event date.
  • After the event. Useful for follow-up actions, such as verifying that a deliverable was completed or checking whether a termination notice was acknowledged.
  • Custom date. Pick any specific date from the calendar if the predefined options do not fit your needs.

Notifications are sent via email to all configured recipients on each scheduled date.
